Service Terms

These Service Terms apply to digitization services provided by Box to Browser. By approving a final estimate and authorizing Box to Browser to begin work, the customer agrees to these terms.

1. Services

Box to Browser currently provides local digitization services for:

  • loose printed photographs
  • photo albums and scrapbooks
  • standard VHS tapes

Other formats, including VHS-C, Hi8, Video8, MiniDV, slides, negatives, 8mm film, and Super 8 film, are not currently supported unless specifically agreed otherwise in writing.

Services may include scanning, video conversion, basic file organization, USB delivery, optional playable DVDs, and Private Family Archive access.

2. Initial Estimate Requests

Website estimate requests are preliminary.

Customers do not need to provide exact counts before contacting Box to Browser. Rough counts, descriptions, and optional photographs may be used to discuss the project and arrange the next steps.

Box to Browser aims to respond to initial website estimate requests within 7 days.

An initial inquiry or handoff of materials does not by itself commit the customer to the final project price.

3. Final Estimate and Approval

After customer materials are received, Box to Browser may inspect, count, and review the condition of the collection before preparing a final estimate.

The final estimate may differ from an earlier rough estimate based on:

  • actual item counts
  • recorded VHS duration
  • album or scrapbook construction
  • condition of submitted materials
  • required handling
  • agreed pickup or return fees
  • optional services or add-ons

Digitization will not begin until the customer approves the final estimate and these Service Terms.

4. Pricing and Payment

The prices shown on the Box to Browser website are intended to provide practical starting points and may be updated over time.

The customer's approved final estimate controls the price for that specific project. Any additional work not included in the approved estimate will be discussed with and approved by the customer before being performed.

Payment is due before or at the time the completed project and digital deliverables are returned to the customer.

Box to Browser accepts payment through PayPal, Venmo, Cash App, and Zelle, subject to availability. Specific payment instructions will be provided with the customer's final invoice or upon completion of the project.

Customers will not be charged for additional work or services that were not included in the approved estimate without prior approval.

5. Pickup, Drop-Off, and Return

Box to Browser is a local service and does not offer mail-in processing. Customer media is received and returned through arranged local pickup or drop-off and is not mailed to a third-party processing facility.

Pickup, drop-off, and return arrangements are coordinated directly with the customer.

Any applicable pickup or return charge will be disclosed before digitization begins and included in the customer's final estimate.

Customers are responsible for providing accurate contact and location information for scheduled handoffs.

6. Care of Original Media

Box to Browser uses reasonable care when transporting, handling, scanning, playing, storing, and returning customer materials.

Customers acknowledge that older photographs, albums, videotapes, adhesives, plastics, magnetic media, and other materials may contain pre-existing deterioration or hidden defects that are not always visible before processing.

Examples may include:

  • brittleness
  • fading
  • weakened adhesives
  • chemical deterioration
  • mold or contamination
  • damaged VHS shells
  • deteriorating magnetic tape
  • mechanical wear
  • previous water or heat damage
  • photographs bonded to album pages

Older materials may occasionally deteriorate, separate, break, or fail during otherwise normal and careful handling, scanning, or playback.

Box to Browser is not responsible for pre-existing damage, latent defects, normal deterioration caused by age, or damage resulting from the inherent condition of submitted materials despite reasonable care.

Nothing in these terms is intended to exclude liability that cannot legally be excluded.

7. Fragile or Unsafe Materials

Box to Browser may pause or decline work on any item that appears:

  • unusually fragile
  • contaminated
  • moldy
  • unsafe to handle
  • likely to damage scanning or playback equipment
  • likely to suffer significant damage if processing continues

When practical, the customer will be contacted before additional work is attempted.

Detailed repair, restoration, mold remediation, or conservation work is not included in standard digitization services unless specifically agreed otherwise.

8. Albums and Scrapbooks

Album photographs are scanned in place whenever practical.

Photos that are loose or easily removable may be removed for scanning and returned to their original location.

Box to Browser will not force, peel, or pry photographs from album pages or mounts.

If an album requires unusual handling or a customer requests removal of mounted photographs, the work must be discussed and approved separately.

9. VHS Conversion

Standard VHS tapes are digitized based on their recorded duration.

Playback quality is limited by the condition and quality of the original recording.

Box to Browser cannot guarantee improvement of:

  • tracking problems
  • tape noise
  • faded color
  • distorted audio
  • damaged recordings
  • missing footage
  • previously recorded-over material
  • deterioration already present on the tape

Basic beginning/end trimming and quality checking may be included, but detailed video restoration or editing is not part of standard conversion unless specifically agreed.

10. Customer Authorization

The customer represents that they own the submitted materials or otherwise have permission to have them copied and digitized.

The customer is responsible for obtaining any permission necessary to reproduce copyrighted or privately owned material.

Box to Browser reserves the right to decline materials that it reasonably believes cannot lawfully be copied or processed.

11. Digital File Organization

Box to Browser makes reasonable efforts to organize files using:

  • customer-provided order
  • album or grouping information
  • available labels
  • practical folder structures
  • sequential filenames

Customer-supplied names, dates, and labels may be used where practical.

Box to Browser does not guarantee identification of unknown people, locations, events, or dates appearing in customer media.

12. USB Copies and DVDs

Every completed order includes a USB copy of the customer's digital files unless otherwise specifically agreed.

Playable DVDs for VHS projects may be purchased as an optional add-on.

Customers are encouraged to create additional backups after receiving their completed project.

Box to Browser cannot guarantee the indefinite lifespan of USB drives, DVDs, computers, or other customer storage devices after delivery.

13. Private Family Archive

Completed orders include 90 days of Private Family Archive access.

During this period, customers may browse, watch, download, and share the digital collection using the provided private archive.

After 90 days:

  • online access expires
  • the archive is retained for an additional 30-day grace period
  • the customer may purchase an annual archive extension during that period

If no extension is purchased, the archive is permanently deleted after 120 days.

Customers are responsible for downloading any files they wish to retain before deletion.

The customer's USB copy, downloaded files, and purchased DVDs remain theirs permanently regardless of archive expiration.

14. Archive Extensions

Annual archive extensions are currently offered at:

Photo Archive — $29/year
For photo-only collections.

Family Archive — $49/year
For collections containing standard VHS video, including VHS-only and mixed photo/video collections.

Annual extension pricing is subject to change.

An extension already purchased remains active for the full period purchased at the price agreed at the time of purchase. Future renewal pricing may differ.

15. Archive Sharing

Customers may choose to share their Private Family Archive with relatives or other people.

Customers are responsible for deciding who receives archive access information or sharing links.

Anyone who receives access information may be able to view or download material from the archive depending on the sharing settings in use.

Customers should therefore share archive links only with people they trust.

16. Turnaround Times

Most standard projects are generally completed within approximately 1–2 weeks after approval.

Larger collections or projects requiring additional care may take approximately 2–4 weeks.

These ranges are estimates rather than guaranteed completion dates.

Unexpected equipment issues, damaged media, unusually large projects, customer-requested changes, or other circumstances may affect turnaround time.

17. Originals and Completed Files

Box to Browser will make reasonable efforts to return all original customer materials after the project is completed or if the customer declines the final estimate.

Customers should review returned materials and digital files within a reasonable period after delivery and contact Box to Browser promptly if something appears to be missing or incorrect.

18. Backups and Long-Term Storage

Digital files may be backed up temporarily while a project is being processed.

Private Family Archive storage is governed by the archive-retention terms above.

Customers should not rely on Box to Browser as their only permanent backup after delivery.

Customers are strongly encouraged to maintain at least one additional copy of important files after receiving their completed project.

19. Customer Media and Privacy

Customer media is treated as private.

Box to Browser will not intentionally publish, post, or use customer photographs, videos, or other media for advertising, social media, portfolio examples, or promotional purposes without customer permission.

20. Changes to Services or Pricing

Box to Browser may update:

  • website pricing
  • service availability
  • supported formats
  • archive-extension pricing
  • pickup policies
  • these Service Terms

Changes do not retroactively alter a final estimate that has already been approved unless the customer and Box to Browser agree to a change.

21. Governing Law

These Service Terms are governed by the laws of the Commonwealth of Pennsylvania, without regard to conflict-of-law principles.
